Use these resources and best practices to help you advocate for the value that your digital adoption program brings to your organization, boost the impact of your current projects, showcase your work to stakeholders, and grow your program.

Brief Overview

You have the WalkMe expertise you need to succeed – and this article gives you the resources you need to position your role, build credibility with stakeholders, and set up a few small habits that make everything easier as your program grows.

Pick one to do today:

  • Nail your intro: Develop your elevator pitch (Section 1.1). This takes just a few minutes and pays off every time someone asks what you do.
  • Set up your intake form or Knowledge Base: Grab the templates and pin it in your Slack/Teams channel or email signature (Section 2.1).
  • Create your pitch deck: Customize a “pitch deck” that you can use anytime you meet with new stakeholders (Section 1.2). We've included an outline and sample presentation to jumpstart yours.
  • Update one visibility touchpoint: Update your email signature, LinkedIn headline, or virtual background (Section 1.3). Make it immediately obvious what you do!
  • Draft upcoming launch communications: Create a repeatable way you communicate new launches and updates to your leadership (Section 3.2). We've provided templates and AI prompts to get you started.

Build Your Internal Brand

Use the below tips and resources to make it easy for people to know who to come to (YOU!) for digital adoption expertise and problem solving.

Nail the "15-second" intro

When someone asks what you do, keep it short and focused: "I help our teams get through their workflows faster and focus on what matters most. To do that, I partner with different teams and stakeholders to drive business initiatives like [insert a few projects or objectives you're focused on] and make sure we're getting value out of the tools we're paying for."

Create your pitch deck

Use this with new stakeholders to introduce your role, the problems you solve, and how your work with WalkMe supports business goals.

Here's a sample pitch deck outline:

Start with the problem (including data if possible)

Before describing what WalkMe solved, describe what was at stake for the business and/or your stakeholders.

The problem isn't a metric like "too many support tickets" or "low adoption rates,” those are symptoms. The real problem is what those symptoms were costing the business in “big picture” areas like revenue, risk, productivity, or compliance.

Ask yourself: If this problem went unsolved, what would have happened? For example:

  • A compressed six-week window to onboard 5,000 employees onto S/4HANA during year-end close meant process errors and business disruption impacting revenue and employee productivity were all but inevitable without a scalable alternative to classroom training.
  • Incomplete CRM data was making sales forecasts unreliable, extending deal cycles, and generating rework for sales ops teams.
  • Claims agents using inconsistent templates were creating downstream delays in decisions and exposing the company to potential compliance risks.

Tip: If you can quantify the downstream impact of the problem before WalkMe, even better. How many support tickets were generated per month as a result of the problem? How long did the process take? What was the error rate? What were the potential compliance fines? What was the cost of rework or delay? This sets up your results section to land harder.

  • Screenshots from WalkMe Insights can be great visuals to include. (Learn more about how to use Tracked Events or UI Intelligence to show which phases of the process were causing the problem, and where people most often abandoned the process.)
Describe what your team does

Include a few solutions that you've deployed, including process(es), on which app(s), delivery timeline(s), and your stakeholder(s).

Screenshots, GIFs, and/or demos are powerful tools for communicating how your solutions work in practice.

Show the impact

Show the "Before" state data alongside the "After" state data.

If you don't have data, qualitative feedback from users and stakeholders can work here too!

End with resources Include a slide with where people can go to learn more, such as your Knowledge Base and/or internal comms channel.

Use simple visibility tactics

Whether it's a virtual background that you use in all of your meetings, an email signature that promotes your expertise, or a few powerful LinkedIn updates, small things can go a long way in sparking curiosity with new teams and keeping your DAP program top-of-mind.

    • Update your headline: Showcase your role and DAP expertise with a standout headline, like:
      • Driving digital adoption with WalkMe | Enabling user success at [Company]
      • Digital Adoption Professional | Builder of frictionless user experiences
      • Driving Innovation and Better UX | Digital Adoption Specialist at [Company]
      • Digital Adoption Strategist | Championing seamless workflows
    • Feature Certificates, posts, presentations, and awards:
      • Add to your “Featured” section: WalkMe DAI Certification certificates of completion, conference presentations you've given, digital adoption posts you've made, etc.

Build Your Communication Hub and Intake Process

Use the tips below to stay organized and make it easy for stakeholders to find and work with you.

Create an internal communication hub

Give people a dedicated space to go for questions and updates. This can include one or both of the following:

  • Slack/Teams channel: Create an #Ask-WalkMe channel. Use it for celebrating new project launches, announcing program updates, getting feedback, and more.
  • Internal Knowledge Base article: Publish a "DAP 101" page on your intranet. Define what WalkMe is, the use cases it can solve, and how stakeholders can learn more and/or submit requests.

Create an Internal WalkMe Knowledge Base

Set up a simple project intake and discovery process, even if you're just starting out

This will help you stay organized, prioritize requests, and spend time on projects that matter for the business and deliver value to your stakeholders.

We recommend starting with the below:

  • Create a standard intake process and form: If you're just getting started, you might be going TO stakeholders to inform them about WalkMe. But as you grow, you'll need a standard intake form to prioritize your workload. We recommend building one early, as it can also guide your conversations with stakeholders and you can fill it out together during your discovery calls.
    • Tip: Pin as a resource in your Slack/Teams channel.
  • Dig into the real problem: Guide stakeholders to identify where users need the most help and/or the root cause of issues.
    • Ask “why?” multiple times to help you uncover the real issue and hone in on where DAP solutions can have the most impact.

For example, if someone tells you that they need an onboarding tour to get new users familiar with an application, dig deeper to understand what the key needs are:

  • Are there certain tasks or processes that need to be done?
  • What are the challenges users face when going through the process?
  • Why is this process important (i.e, what is the downstream impact if the process is not completed correctly?)
  • Where do people usually miss or spend too much time today? Why is that a problem?

Build Your Launch Communication Playbook

Whether you're gearing up for your first launch or scaling an established program, proactively and consistently communicating what you've built - and why it matters - helps you boost momentum and excitement across the organization.

Communication best practices

  • Be concise and clear: Use bullet points, bold text, and visuals to make your info scannable, easily understandable, and impactful.
  • WIIFM (What's in it for me?): Customize content to the goals of your audience. For end users, explain how the solution will save them time or make their tasks easier. For stakeholders, explain how your work is impacting the metrics and objectives they care about (for example, fewer support tickets, higher first-time right submissions, hours and $ saved, higher CSAT or NPs scores)
  • Avoid "jargon-y" language: Write like a helpful peer. Your communications should sound professional, yet friendly.
  • Include a next step: Every message should be the start of a journey. Provide a “call-to-action” (CTA) in all of your communications (for example, a link where recipients can take further action or get more info, someone to reach out to)

Demo tips and best practices

  • Optimize for readability. Record in 16:9 at 1080p. If you have a 4K monitor, shrink your browser window so text is legible on smaller screens.
  • Record in a test environment. Use a sandbox or demo environment to protect sensitive data.
  • Guide the eye. Use cursor highlights and zoom in on small UI details during post-production to keep the viewer focused.
  • Polish with AI. Use AI tools to enhance audio clarity and add on-screen text for better accessibility.
