Brief Overview

SuccessFactors offers a fully customizable, role-based portal. Because of its scope and complexity, Smart Walk-Thrus require specific structures to work reliably. Follow these best practices when building WalkMe content for SuccessFactors.

Walk-Thru Structure

All Smart Walk-Thrus on SuccessFactors should start by confirming the user is in the correct module.

To confirm the user is on the correct module, add the following steps to the beginning of all SuccessFactors Smart Walk-Thrus:

  1. Add a step and select the Main Navigation Menu as your element. In the title, write "Open the Navigation Menu." Make sure the Click trigger is selected. Open the Precision tab in the Step Options menu and select Ignore ID.

  2. Add a second step and select the Module dropdown menu as your element. In the title, write "Select your module." Make sure the Click trigger is selected. Open the Precision tab in the Step Options menu and select Ignore ID.

To avoid repeating steps when the user is already in the correct module, use a Start Point:

  1. Create a new step
  2. Open the Options menu for the step and select Add Start Point
  3. Add a rule so the Start Point occurs only when the correct module is listed in the Main Navigation
    • For example: On Screen Element — Text Is — "..."

Admin Center

Finding elements

When building Smart Walk-Thrus in the Admin Center, most elements in the Company Process & Cycles menu must be identified by their text to work correctly.

To identify an element by text:

  1. Select the step to open Step Options
  2. Go to Precision
  3. Select Identify by Text

Using shortcuts

Some items in the Admin Center can be favorited and placed in a sidebar for one-click access.

  1. Select the step to open Step Options
  2. Go to Behavior
  3. Select Create a Step Play Rule
  4. Add a Use On Screen Element Is Visible rule so the step plays only when the favorited item is not visible
  5. Select Settings to open Precision settings for the rule and select Identify by Text

Segmentation

By module

SuccessFactors supports a wide range of actions, which can result in a large number of Smart Walk-Thrus. To keep the WalkMe Player Menu manageable, use the Segmentation Center to make sure users only see Smart Walk-Thrus relevant to their current module.

To make menu items appear only when a user is in a specific module, define the segment:

  1. Open the Segmentation Center
  2. Select Add a New Segment
  3. Type a name and choose a color
  4. Select Define Segment on your step
  5. Add a rule so items only appear when the correct module is listed in the Main Navigation
    • For example: On Screen Element — Text Is — "..."

By variable

Enabled feature

To use SuccessFactors variables in the condition builder, request access from your Customer Success Manager or WalkMe contact.

When this feature is turned on, you can use SuccessFactors variables — including Role Name, Role ID, and User Language — in the condition builder. This lets you make specific menu items appear only to certain user groups based on their role.

To create a segment with these variables:

  1. Open the Segmentation Center
  2. Select Add a New Segment
  3. Type a name and choose a color
  4. Select the segment name and then select Define this Segment
  5. Create a rule using one of the following variables:
    • wmSuccessFactors.roleNames.enterRoleNameHere
    • wmSuccessFactors.roleIDs.enterRoleIdHere
    • wmSuccessFactors.defaultLocale.enterLanguageHere

For example:

User Data — Variable — wmSuccessFactors.roleNames.Config Admin — is — true

User Data — Variable — wmSuccessFactors.roleIDs.713 — is — true
