WalkMe Discovery: Users

Brief Overview

The Users dashboard provides visibility into specific users and the apps they use. Users has two identification modes:

  • "Identified" - displays user identities
  • "Hashed" - hides user identities

It includes the number of apps used per user as well as last seen dates (in general and per app). It also can display user attributes such as role, department, etc if the customer shares this information.

The Users dashboard provides a comprehensive view of your organization's users. This section will explore the data and available actions on the dashboard.

Tabs and columns
  • Name - user full name based on information provided
  • Email - user email based on information provided
  • Role - user role based on information provided
  • Department - department name based on information provided
  • Apps Used - number of applications used by the user in the defined date range
  • First Seen - when the user's first event was recorded
  • Last Seen - when the user's last event was recorded (in general and per app)
    • available for “All Apps” on any month or individual app for most recent month

Actions
  • Date Filter - filter by calendar month
  • Apps Filter - filter by application used
  • Search - search for specific user by name
  • Export Users Data - export dashboard data to csv/xlsx
  • Manage Columns - add/remove columns from dashboard
  • Sort/Filter Columns - sort/filter columns based on values
  • Apps Used - click on # of Apps Used per user to view full list of apps

Setup

Determine which method to use to identify and enrich information:

If you already have IDP configured in the Admin Center, then Discovery will automatically leverage this information. No action is required to connect IDP to Discovery.

  • Since IDP is not 100% reliable, you may notice gaps in user details.
  • To maximize user coverage a CSV upload is required

If you do not have IDP configured in the Admin Center and want to know which to pursue, then the CSV is the best choice to ensure maximal coverage because it is not guaranteed that IDP will deliver expected results.

  • Avoid potential delays with your IT team responsible for IDP
  • Avoid double work where IDP is configured first only to then identify gaps and determine a CSV upload is necessary

How to Upload the Employee Details CSV

To enrich the data in the Users and Departments Dashboard, we recommend uploading a CSV with additional information about each user.

To upload a CSV:

  1. Go to the Discovery > Settings > Integrations > Manual Integrations > Users Details
  2. Enter user information into the template CSV
    • Note: email is the only mandatory field
  3. Upload the completed CSV 
    • In the WalkMe Console go to Discovery > Settings > Integrations
    • Scroll to the CSV Integrations section and click View on User Details

New uploads overrides the old CSV

When updating your CSV, the latest upload will override the previous one. Therefore to import additional information, it should be added to the previous CSV and then re-uploaded.
