WalkMe's Discovery License Optimization Dashboard has made it easier than ever to identify inefficiencies and areas of opportunity within your software spending. By providing insights on cost-saving measures such as cutting costs on specific software applications, the License Optimization Dashboard empowers organizations to streamline their software usage and maximize their investments.

Comparing data that you input about your software expenses enables you to realize license inefficiencies instantly and take the next steps to optimizing how you spend on your software.
The Licenses Dashboard provides a comprehensive view of your organization's software license usage, enabling you to optimize and streamline your software investments. This section will explore the widgets available on the dashboard.

Cost per department based on the number and cost of licenses per department provided by the customer.

The "All Apps" widget provides a comprehensive view of all software applications used in the organization. It includes the name of the app as defined in the WalkMe app library, total number of licenses provided in the CSV, contract renewal date, annual cost of the contract, utilization rate which is the percentage of active users compared to the total number of licenses, potential savings based on underutilized licenses, the category of the app as defined in the WalkMe app library, and the owner of the app as indicated by you. This widget helps organizations to gain a full understanding of their software portfolio and make informed decisions about their license usage and allocation.
The User Activity graph displays a line graph that visualizes the popularity of a software application based on the number of users and the amount of time they spend on the app. The graph is accompanied by a list of active users and their level of activity, giving you insights into how effectively your software investments are being utilized. With this information, you can identify potential areas for cost savings and streamline their software usage.

If you already have access to license information for a few apps and want to uncover utilization and potential savings instantly, feel free to add the info directly in the table. You may edit licenses info or add license info to more apps at any time.

To get the full experience of the Licenses Dashboard, we recommend uploading a CSV with information about each app's licenses.
To upload a CSV:
It is not required to upload a CSV use the licenses dashboard. You can also update the values directly in All Apps table.

Existing license management tools typically rely on tracking logins instead of actual behavioral usage and patterns. Discovery provides this added scope and allows customers to understand not only how many users have accessed an app, but how often they visit and how long they spend. This information becomes critical when it comes time to manage user licenses, whether cutting them or reassigning.
WalkMe's License Optimization Dashboard supports all apps for license analysis. Most apps are automatically identified by WalkMe when you download the CSV template. If an app isn't identified, it won't appear in the dashboard even if it's included in the CSV. In this case, open a Support ticket and we can add that app to the app manager to ensure it is supported in future analysis.
If the app has multiple license types (user permissions like edit, view, admin), the WalkMe team will work with you to configure these rules on WalkMe's side.
